Setting up your club account

This is your onboarding checklist — from the moment you sign up to the moment your first parent receives their first message. Most coaches get through this in under an hour. You can do it in any order.

1. Confirm your email

After signup we email you a verification link. Click it to unlock the full app — until you do, you can still set things up, but you can't send broadcasts or collect payments. Didn't get the email? Open the yellow banner on your dashboard and click Resend email.

2. Name your club and add your details

Open Settings → Club. Set:

  • Club name — what parents see in every email and on the public page.
  • Logo — square PNG or JPG, anything from 200×200 upwards. Shows in the parent portal header and on receipts.
  • Public URL slug — adminished.com/clubs/your-slug. See Public club page for the full walkthrough.
  • Timezone — defaults to Europe/London. Change if you're abroad.

3. Add your first class

Skip the abstract setup — get one real class in so the rest of the app has something to hang off. See Setting up classes. This unlocks the calendar, attendance kiosk, billing and the parent portal.

4. Add a venue

Even if you only have one venue, take 30 seconds to set it up — your weekly classes will inherit the address and parents see "where is it?" answered automatically. See Setting up a venue.

5. Set up payments

Two paths:

  • Cash / bank transfer only — nothing to set up. Just record payments manually when you receive them.
  • Card payments via Stripe — Connect Stripe from Settings → Payments. Takes about five minutes; you can keep using the rest of the app while you complete Stripe's verification.

6. Invite parents

Your join code is at the top of your dashboard — six characters, all caps. Give it to parents three ways:

  • QR code on a flyer at your next session. Go to Invite parents in the nav for a printable PDF.
  • Direct link — adminished.com/join with your join code pre-filled. Shareable on WhatsApp.
  • Bulk import — if you've already got a parent list, upload it from Students → Import. Each parent gets a personalised join link by email.

7. Configure email and audit settings

Open Settings → Email to set:

  • Reply-to address — what email parents see when they hit Reply on an Adminished message. Default is your account email; change to a club inbox if you have one.
  • BCC log — optionally BCC every outgoing message to a club archive inbox, so you have an independent record of everything sent. Useful for safeguarding audits.
  • Sender display name — by default this is your club name. Change it if you'd rather show your personal name (e.g. "Coach Sarah").

For an audit of what's actually been sent, open Settings → Email and scroll to Send history — every broadcast and automated message is logged with delivery status. Resend (our email provider) retains delivery records for 30 days; beyond that we keep just the metadata.

8. Set up safeguarding records

If you have other coaches or helpers, record their DBS check expiry dates and any safeguarding training in Settings → Team. Adminished sends you 60/30/7-day expiry alerts so nothing lapses. See DBS & safeguarding tracking.

9. Test the full loop

Before you go live with real parents, run through one cycle yourself:

  1. Add yourself as a test student under a fake parent account.
  2. Send a test broadcast — check it arrives in the fake parent's inbox.
  3. Open the parent portal as the fake parent, "report an absence", confirm you see it on the coach side.
  4. Take a card payment using Stripe's test card 4242 4242 4242 4242 (if Stripe is in test mode).

If everything worked, delete the fake parent and you're ready to invite real ones.

What's not in this list (yet)

These are optional and you can add them later as you grow:

  • Custom forms and waivers — beyond the basic medical/photo consent.
  • Badges and achievements — per-belt, per-grade or per-activity badges.
  • Equipment tracking — if you lend out gear.
  • Team roles and permissions — when you bring on a second coach.
