DBS and safeguarding compliance tracking
Adminished lets you record DBS check dates, safeguarding training dates, and expiry dates for every team member, so you always know who is cleared to work with children and who needs renewing.
Recording a team member's compliance dates
- Go to Settings → Team & compliance.
- Click the team member's name to open their record.
- Fill in DBS checked, DBS expires, Safeguarding training done, and Safeguarding expires.
- Add any notes in the free-text field (for example, which DBS update service a member is enrolled in).
- Click Save.
Compliance status on your dashboard
Your /app dashboard shows a status chip for each team member:
- OK — all dates are current.
- Expiring soon — one or more items expire within 60 days.
- Expired — one or more items are past their expiry date.
Treat any team member showing Expired as not cleared to work unsupervised with children until their DBS or training is renewed and updated here.
Automatic email alerts
Adminished sends reminder emails to you (the club owner) before each team member's DBS or safeguarding certificate expires:
- 60 days before expiry
- 30 days before expiry
- 7 days before expiry
Reminders go to the email address on your club owner account. Update it in Settings → Account if needed.
Exporting compliance records for auditors
Go to Settings → Team & compliance and click Export CSV. The file contains each team member's name, role, DBS status, safeguarding status, and all four dates. Useful for Ofsted visits, National Governing Body audits, or your own records.
What Adminished does not store
Adminished tracks dates only. The actual DBS certificate, update-service subscription number, and any safeguarding course completion documents are your responsibility to hold securely. Do not upload them here — store them in a locked cabinet or a secure document system and ensure access is restricted to authorised people.
