Managing your team — roles and permissions

Adminished has four staff roles. Each gives a different level of access. Parents have their own separate role and are not part of the staff team.

The four roles

Role What they can do
Owner Full access to everything, including Plan & billing, deleting the club, and removing other owners.
Admin Everything an Owner can do, except deleting the club or removing/demoting an Owner.
Coach Students, classes, attendance, payments, and messaging. Cannot access Settings or Plan & billing.
Assistant Attendance kiosk only — equivalent to a register helper on staff. No access to student records, payments, or settings.

Parent is a separate, non-staff role. Parents access their own portal, see only their children's data, and cannot be promoted to a staff role.

Inviting a team member

  1. Go to Settings → Team & compliance.
  2. Click Invite team member.
  3. Enter their email address and choose a role.
  4. Click Send invite. They receive an email with a sign-up link.

When they accept the invite and create their account, they are added to your club automatically with the role you selected. You'll see them appear in the team list.

Changing someone's role

  1. Go to Settings → Team & compliance.
  2. Find the person in the list and use the role dropdown next to their name.
  3. Select the new role. The change takes effect immediately on their next page load.

Removing a team member

  1. Go to Settings → Team & compliance.
  2. Click Remove next to their name.
  3. Confirm the removal.

Removing a team member revokes their access immediately. Their historical attendance records and sent messages are preserved — they are attributed to their name rather than deleted.

Plan limits

  • Free — owner only, no additional team members.
  • Essential — up to 3 team members (owner + 2 others).
  • Pro — up to 10 team members.
  • Custom — unlimited.

If you reach your plan's limit, the Invite team member button is disabled. Upgrade your plan or remove an existing member to free up a slot.
