Setting up a venue

A venue is the building or pitch where you run classes — a school hall, a community centre, a sports field. You set it up once, then link it to weekly classes, one-off events and the hall-hire contract that lets you use it.

Add a new venue

  1. Open Venues in the main nav, then click + Add venue.
  2. Start typing the venue name. Adminished uses Google's address autocomplete to find it instantly — pick the right match and the address, postcode and map pin all fill in automatically.
  3. If your venue isn't on Google Maps (rare — outdoor pitches sometimes aren't), tick Enter manually and type the address and postcode yourself.
  4. Add a public-facing description (optional but recommended): "Free parking, accessible toilets, no kit cupboard so bring your own mats". This shows on your public club page and the event-booking pages.
  5. Click Save venue.

Linking the venue to a class

When you create or edit a class, the Venue dropdown lists every venue you've set up. Pick the right one and the weekly schedule slots inherit that venue's address — so parents see "Cardiff Karate Academy at Whitchurch Primary School Hall, Sundays 09:00" without you having to retype the address.

You can run different classes at different venues. Just create a venue for each, then pick the right one when setting up that class.

Tracking a hall-hire contract

If you rent the venue from a council or school, track the contract right on the venue — fill in the Hire details (start date, term and cost) when you add or edit it. Adminished works out the expiry, warns you 30 days before renewal is due, and lets you renew with one click, so you never lose your slot.

Rooms within a venue

If your venue has multiple rooms (main hall, side hall, studio 1) and you want to prevent double-booking, set those up in Manage rooms. Otherwise, just leaving "Whole venue" as the only space is fine — most clubs do this.

Nearby services

On a venue's detail page, click Nearby services to pre-fill recommendations for the parents-and-children Adminished sends with booking confirmations — closest car park, nearest café, accessible toilets. Adminished uses Google Maps Places to suggest these; you tick the ones you want shown.

Editing or deleting a venue

Open the venue from the list and click Edit to change details. To remove a venue, click Delete — Adminished will refuse if the venue is still attached to a live class or event (you have to detach it first). This stops you accidentally orphaning your weekly schedule.

Public visibility

The venue address is shown on your public club page, in event-booking pages, and in confirmation emails sent to parents. If you'd rather keep the exact address private until someone enrols, leave it blank and put a general location ("Whitchurch area, Cardiff") in the description field instead.
