Tracking venue hire
Hire tracking lives on each venue — open a venue and fill in its Hire details. (This used to be a separate "Venue bookings" page; it's now part of the venue itself.)
What hire tracking is for
If you hire a hall, court or pitch on a fixed-term contract — a 10-week school term, a quarterly agreement or an annual lease — you need to know when that contract expires so you can renew it before another group takes your slot.
Adminished tracks each venue's hire start date, renewal period and expiry date. You get an amber warning 30 days before expiry and a red alert once the hire has lapsed.
Recording hire on a venue
- Go to Venues in the navigation, then open a venue (or click Add venue to create one).
- Scroll to the Hire details section.
- Set the Hire start date — the first day of the current contract period.

Set Renews every — how often the hire renews. Enter a number and choose
weeks, months or years. Common values:
- 10 weeks — a typical school term
- 3 months — a quarterly contract
- 1 year — an annual lease
- Set Hire expires on — the date the current contract ends. (The Renew button later rolls this forward by one period for you.)
- Optionally enter the Cost per period (useful for budgeting).
- Click Save changes (or Add venue if you're creating a new one).
Renewing a hire
When a venue's hire is within 30 days of expiry (or has already expired), a Hire card on the venue page shows the expiry date with a Renew (+ one period) button — e.g. Renew (+10 weeks). Clicking it extends the expiry date by one renewal period.
Status colours explained
| Colour | Meaning |
|---|---|
| 31+ days left | Active — no action needed |
| 1–30 days left | Renewal due soon — arrange renewal now |
| Expired | Contract has lapsed — contact your venue immediately |
Linking rooms to a venue
If you've set up rooms in Adminished (e.g. "Main Hall", "Studio A"), each room can belong to a venue. Open the venue and use the rooms section to add a room here, or link an existing room by editing it (Rooms → Edit) and choosing the venue. Rooms linked to a venue appear on that venue's page, so you can see at a glance which spaces depend on a particular hire contract.
