The Badges page showing a catalogue of awardable milestones for students

The badges feature gives you a per-club catalogue of awardable milestones — BJJ belt promotions, Scout activity badges, dance grade certificates, music exam passes — that you can award to individual students and parents can see in real time on the parent portal.

Creating your badge catalogue

  1. Go to the Badges tab in your coach dashboard.
  2. Click Create badge.
  3. Enter a name (for example, "Blue Belt" or "Stage 3 Certificate").
  4. Optionally add a description, upload an image, and set whether a specific date-earned is required when awarding.
  5. Click Save. The badge is now available to award to any student in your club.

Build your full catalogue before you start awarding — it is easier than adding badges one at a time later.

Awarding a badge to a student

  1. Open the student's page.
  2. Scroll to the Badges section and click Award badge.
  3. Select the badge from your catalogue.
  4. Optionally set the date earned and add a note (for example, the examiner's name or competition result).
  5. Click Save. The parent sees it immediately on the parent portal.

Awarding a badge to a whole class

  1. Open a class page.
  2. Click Award badge at the top of the students list.
  3. Select the badge and an optional date.
  4. Tick the students who earned it (or tick all), then click Award.

Useful for end-of-term grading sessions where a group progresses together.

Where parents see badges

Parents log into their portal and open their child's page. The Badges section shows every badge awarded, the date earned, and any note you added. Badges cannot be hidden from parents — if you award it, they see it.

Removing or correcting a badge award

Open the student's page, go to the Badges section, and click Remove next to the relevant award. The badge is removed from the parent portal immediately. The removal is recorded in the audit trail so you have a full history of what was awarded and when it was taken off.

Use cases by sector

  • Martial arts — BJJ belt promotions, stripe awards, competition medals.
  • Scouting and youth groups — Scout activity badges, Duke of Edinburgh milestones, section awards.
  • Dance — IDTA or RAD grade exam passes, performance awards.
  • Music — ABRSM or Trinity grade passes, theory certificates.
