When Adminished charges people
Once you have connected Stripe and left automatic charging on, Adminished bills your members without you doing anything. This page says exactly when that happens, so nothing is a surprise — to you or to a parent who asks.
Monthly members
On the 1st of each month, Adminished works out what every monthly member owes for the month that has just finished, raises the charges, and takes them from saved cards and Direct Debits. Monthly billing is in arrears: members pay for the month they have had.
Weekly, fortnightly and four-weekly classes
These are billed once a day. Each morning Adminished looks for a billing period that has just closed and charges it. A weekly class is therefore billed the morning after its week ends.
Drop-ins
A drop-in is charged after the session has happened, not when it is booked — Adminished checks each hour for sessions whose time has passed. Nobody is charged for a session they did not attend.
What is left out of a bill
- Paused lessons. If a membership was paused across part of the period, those lessons are excluded and the rest is prorated.
- Members who left before the period started. Someone who cancels part-way through a period is not charged for it. A period that had already closed when they left is still charged — they attended it.
- Price rises. A price you change today applies from the next period. Periods that have already closed keep the price that was in force at the time, so changing a price never re-bills a month retrospectively.
When a card fails
Adminished retries a failed charge on a schedule and emails the parent a reminder. After five failures it stops retrying and pauses the membership, so the next cycle does not pile another charge on a card that is not working. The paused period is not billed. You will see the member flagged on your Money screen.
Other things that run on their own
- Overdue payment reminders, and a warning before a saved card expires.
- DBS expiry reminders for staff.
- Attendance and streak badges, awarded overnight.
- Scheduled broadcasts, sent at the minute you chose.
Turning it off, or running it early
Automatic charging is a club setting — you can switch it off and raise charges by hand instead. You can also run the monthly generation early from your Money screen if you want to check what a month will look like before it goes out.
