Member details and registration questions

What a family tells you when they sign up: who is joining and who is registering them, two emergency contacts, allergies and support needs, and the answers to any questions of your own.

Registering an adult you support or care for

The sign-up form asks who is joining: My child, An adult I support or care for, Me (adult) — I'm joining myself or Me (under 18) — I'm joining myself.

With An adult I support or care for, the adult becomes the member and the person filling in the form is linked to them as their carer. A date of birth, a contact number and an emergency contact are needed, as they are for a child. The carer gives consent on their behalf: the consent lines read "I am registering" the adult "and give consent on their behalf", and the signed record shows the carer signing on behalf of the member.

To use your own wording for this option, go to Settings → Your club → Edit terms.

Two emergency contacts

The form asks for an emergency contact — a name and phone, with an optional relationship — and an optional Second emergency contact. Someone joining as an adult themselves can leave the emergency contact out.

Both appear on the member's profile and print on the emergency sheet, the second one even when the first is missing. The main parent or carer keeps them up to date from their child's page: Emergency contact, then Change →.

Allergies and support needs

Under Health and support, the family can record allergies — ticking Severe (anaphylaxis) if an adrenaline pen is carried — any support or communication needs, and whether a carer or support worker comes to sessions, with their name and phone. All of it is optional.

Owners, admins and coaches see them, and so does the member's own family — never assistants, register helpers or other parents, and never in an email. Staff see them on the member's profile, in the medical column of the emergency sheet, and on the register, where a severe allergy shows as ALLERGY and an attending carer as CARER.

The main parent or carer changes these from their child's page, under Health, support & club questions. Staff change them by editing the member.

Your own registration questions

To ask something of your own on the sign-up form — a swimming level, a school year — go to Settings → Communications & documents → Edit documents → Registration questions. A question can take a short answer, a paragraph, yes or no, a pick from a list, or a date, and can be asked of everyone, children only or adults only.

  • Hide from assistants and helpers is chosen for every new question: only owners, admins, coaches and the family see the answers. Choose Show to assistants and helpers too for something everyone can see; only then can you tick Show the answer on the register. Once a hidden question has answers, it can't be switched to shown.
  • Ask on the sign-up form puts it on the form. Required at registration means a new sign-up has to answer it. Members who joined before are never blocked: an unanswered required question is listed with their missing details — tap the ⓘ next to their name on the register — and the email asking the family for missing details names it. A question the family can't change is marked (staff to fill) and is never asked of them.
  • The main parent or carer can change their answers from their child's page unless you untick The family can change their answer later. Staff can always change an answer by editing the member.

Once anyone has answered a question, its kind and options are locked. Questions are archived, never deleted: answers to an archived question stay on the member's record under Previous questions.
