Printing an emergency sheet
The emergency sheet is one printable page for a single session or event day. For each person on it you get their name, date of birth, their parent or carer and how to reach them, their emergency contacts and — unless you leave them out — their medical notes, allergies and support needs, printed in full. Take it on a trip, keep it with the first-aid kit, or use it as your fire roll.
Where to find it
- For a class, open the register and tap 🖨 Emergency sheet. The sheet is for the date the register is showing.
- For an event (owners and coaches), open the event, tap Door · check-in, then 🖨 Emergency sheet. An event that runs on more than one day gets one sheet per day: it opens on today if the event runs today, otherwise on the next day it runs (or its last day, once it is over), and you can switch days at the top.
Tap Print, or save it as a PDF from your browser's print window. The buttons and switches at the top are not printed.
Choosing who is on it
- Expected is the default. For a class that is everyone enrolled or booked for that date, minus anyone marked excused. For an event it is everyone booked.
- Present only (fire roll) lists only the people marked present or late on the register. On an event sheet it lists everyone checked in at the door, and the sheet's heading reads Checked in only (fire roll). Booked guests can't be marked on a class register, so a class fire roll names them underneath, for you to check by name.
Medical notes included is the default. Contacts only leaves out the medical column — and with it the allergies and support needs, which print in the same column — for a copy that only needs to carry phone numbers.
Someone with no member record, such as a guest on a booking, is shown as Guest · No medical record held with the details of whoever booked, rather than a blank that could be read as "nothing to know". Anyone without an emergency contact is printed as NO EMERGENCY CONTACT, and the line at the top counts how many there are.
Who can open it
Only owners, admins and coaches can open the emergency sheet, because it holds members' medical notes and emergency contacts. Assistants, register helpers and parents who follow a link to it get an Ask a coach page with no names or notes on it.
Every view is recorded
Each time a sheet is opened, Adminished records who opened it, when, for which class or event and date, and which version it was — whether or not it is then printed. Owners and admins see the latest 20 in Club reports → Safeguarding & compliance, in the Recent emergency-sheet prints card.
Looking after the paper
Every printed page carries a confidential line at the foot. Keep paper copies with you during the session and shred them afterwards.
