Term dates and term fees
If you charge by the term, type your term dates in once. When it's time to raise a term's fee, pick the term and its dates are filled in for you — and its due date, if you saved one.
Saving your terms
- Go to Settings → Terms.
- Under Add a term, give it a name and its Starts and Ends dates. A Fee due date is optional.
- Tap Add term.
You can change a term's dates at any time. Fees already raised keep the dates they were raised with: if you change the dates of a term whose fee was already raised, the page tells you so. Archive a term you no longer need: it stops being offered when you raise a fee, and Restore brings it back.
Saving a term charges nobody. Only owners and admins can open the Terms page.
Raising a term fee from a saved term
- On the Terms page, tap Raise this term’s fee → beside the term. Or open Payment requests, tap Raise a fee for everyone and choose the term under Use a saved term.
- The term's start and end dates are filled in, and its due date if you saved one, and the title becomes the term's name followed by "fee", unless you have already typed your own.
- Enter the amount, choose who pays it, and tap Raise the fee.
If a fee has already been raised for dates in that term, the form warns you before you charge everyone a second time. Funded members are never charged a term fee, and members who have given notice are left out. If your club takes card payments, families with a saved card or Direct Debit are charged on the due date, not before.
A reminder before the term starts
When a saved term starts within 14 days and no fee has been raised for it, owners and admins see a reminder on the dashboard with a Raise the fee button. It goes away once a fee covering the term's dates has been raised.
A term fee does not replace a monthly price
Raising a term fee doesn't switch off a class's monthly price. For a class paid by the term, set its price to 0 or turn its billing off — otherwise families are charged both.
