Contact details for volunteers and staff
Each person on your team can keep a phone number and an emergency contact with your club, so you can reach them — or someone for them — on a session day. Every field is optional, and nothing is held up if they leave them empty.
Details are kept per club. Someone who helps at two clubs keeps a separate copy at each, and neither club sees what they gave the other.
Adding your own
- Open Your account from the menu.
- In the contact details card for your club, fill in Your phone, Emergency contact name, Relationship and Emergency contact phone.
- Tap Save contact details. Empty a box and save to remove that detail.
A phone number needs at least 5 characters. The card is only there for team members; parents don't see it.
Filling them in for someone
Owners and admins can add or correct anyone's details: go to Settings → Team, find the person on the Team & roles page, open Edit contact details and tap Save contact details. Each person's entry shows when their details were last changed, and by whom.
Who sees what
- Owners and admins see everyone's phone number and emergency contact, on the Team page and on the rota.
- Coaches see the phone numbers of the people on each shift on the Rota, and their own emergency contact — not anyone else's.
- Assistants see only their own details.
- Parents never see them.
Anything you aren't allowed to see is left out of the page altogether, not just hidden. On the rota, an emergency contact sits behind an Emergency contact link rather than on the face of the shift.
People who put their name down for a shift from your public event page are not on your team: owners, admins and coaches see the email and phone they gave, and assistants see their name only.
When someone leaves
Remove someone from your team and the contact details they kept with your club go with them.
