Scheduling a broadcast to send later

You can write a broadcast in advance and have it go out automatically at a time you choose. Write your weekly summary on Sunday evening and set it to arrive Monday morning at 9am — when parents are actually checking their phones. Or write a match-day reminder on Friday and schedule it for Saturday morning.

How to schedule a broadcast

  1. Go to Comms → Messages and open the broadcast composer.
  2. Write your message and choose your recipients (all parents, or a specific class).
  3. Switch the send toggle from Send now to Schedule for later.
  4. Pick a date and time — the picker uses your club's timezone.
  5. Click Schedule. The broadcast goes into the upcoming queue straight away.

Below the compose form you'll see a list of every pending broadcast. Each entry shows:

  • Who it's going to (all parents or a named class).
  • The scheduled send time.
  • A Cancel button.

Cancelling a scheduled broadcast

Click Cancel on any pending broadcast before its send time. Once a broadcast has gone out you cannot unsend it — if the time has passed, it has already been delivered.

Audience snapshot

The recipient list is captured at compose time, not at send time. If you schedule a broadcast for Monday and a parent leaves the club on Sunday, they're still in the list — because they were a member when you composed. This is intentional: it prevents parents who were meant to receive a message from missing it because of a timing quirk, and stops "why didn't I get this?" confusion.

Behind the scenes

A background worker runs every minute on the server. Any broadcast whose scheduled time is in the past gets sent in the next tick. No action is needed on your end after you click Schedule.
