Picking a squad for an event

For a match, a tournament or a trip where you decide who goes, pick the members yourself instead of waiting for bookings. Each place on a paid ticket becomes a fee the family owes, collected like any other fee.

Picking the squad

  1. Open the event and tap Pick squad. Owners, admins and coaches can do this. The event needs at least one ticket first.
  2. Tick each member who is going and choose their ticket. Members who already have a place on the event are greyed out.
  3. If someone comes with a carer, add places with + carer. Carer places use the ticket you choose under Carer places use, and their price is added to the member's fee.
  4. For an event on more than one date, choose the date, or The whole event.
  5. Tick Email the families if you want each parent or carer on record emailed that their member has a place and what is owed.
  6. Tap Add to the event.

The owed fee

A place on a paid ticket adds one fee to the member's balance, named after the event and its date. The family pays it from their Pay page like any other fee. It is due on the day of the event — the date you chose, or the first day if you chose the whole event — or on the day you pick them, if that day has already passed. From then on it is chased like your other fees.

A member on a funded rate pays nothing, carer places included: the place is confirmed straight away, and the squad screen marks them Funded — no fee. A free ticket adds nothing for the member themselves, but any paid carer places still add a fee. An event that asks for payment in advance still takes squad places; each paid place is added as a fee in the same way.

On the event page each squad place shows where its fee is — for example Owes, Being collected or Paid (fee). A squad place is always paid through its fee: at the door, Card takes it by card, or Take payment → opens the fee to record a payment.

To take someone off the squad, open their booking and tap Cancel this place. An unpaid fee is cancelled with it and the place is freed. If the fee has been paid, refund it on the fee's page first (or cancel it there, if it was paid in cash).

Checking people in

Open the event and tap Door · check-in. Each squad place, and any booking for more than one person, lists every person with their own tick, so you can check people in one at a time. The main circle checks in everyone on the booking — or the rest of them, if some have already arrived.

A booking that still has one of the event's required consent forms unsigned shows Consent outstanding. It is a reminder, not a block: you can still check them in.

Seeing who went

Club reports → Event attendance shows which members had a place at which event, whether it was paid or owed, and who came.
