Leaving a club or deleting your account
This article covers the three ways people stop using Adminished — leaving a single club, deleting your whole Adminished account, and what happens to your data in each case.
I'm a parent — I want to leave one club
If your child has stopped attending and you no longer want messages or charges from the club:
- Open the parent portal and switch to the club you want to leave (top of the page).
- Tap Settings in the bottom bar.
- Scroll to "Leave this club" and tap Leave.
You'll still have an Adminished account — you just won't receive any more emails or charges from that club. The coach will see your children as "left" in their student list. Your past payment history with the club stays on the coach's records for HMRC retention (typically six years).
If your child still belongs to other clubs you can switch between them from the top of the parent portal.
I'm a parent — I want to delete my whole account
This removes your Adminished login and everything tied to it across every club you've ever joined.
- Open the parent portal.
- Tap Settings in the bottom bar.
- Scroll right to the bottom and tap Delete account.
- Confirm — there's a final "are you sure?" because this can't be undone.

I'm a coach — I want to delete my club
Deleting a coach account is more complex because of HMRC retention rules. Open Settings → Delete account. You have two options:
- Close the club but keep records — the club stops accepting new sign-ups, sending messages, and generating charges, but you (the owner) can still log in to download payment history for HMRC. Recommended for active businesses winding down.
- Hard delete everything — wipes the club and every student record. Only available if there are no outstanding payments and no payment history within the last 90 days. After 90 days of inactivity the option becomes available.
If you've set up Stripe, disconnect it first (Settings → Payments → Disconnect). The Stripe account Adminished created for your club isn't deleted — only its connection to Adminished is removed, and any pending payouts still reach your bank.
What gets deleted, what stays
Under UK GDPR you can request a full export of your data before deletion. Open Settings → Data & privacy → Export my data — you'll get a JSON file of every record about you and your children within a few minutes.
After deletion, we retain only what's legally required:
- Payment records — the amount, date and your name, retained for six years (HMRC).
- Email send log — Resend keeps a 30-day audit trail of delivery status. Beyond that, it's purged.
- Server logs — request logs retained for 14 days, then auto-deleted.
Everything else — your profile, your children's profiles, attendance history, photos, messages — is removed within 24 hours.
Changed your mind?
Account deletion is final once you click confirm. If you've deleted by accident, email [email protected] within 48 hours and we can restore from backup. After 48 hours, restoration is not possible.
