Software built for learn-to-swim schools
Manage termly blocks, registers, swimmer levels and parent payments in one place. Just 1% on payments, free to start, and we'll move your swimmers across for you.
Sound familiar?
- Termly re-enrolment turns into a spreadsheet marathon every block, with poolside places lost track of and waitlists living in your inbox.
- Poolside registers on damp paper mean late, missed and excused swimmers are easy to lose, and reconciling who actually attended is guesswork.
- Medical, SEND and emergency notes for each swimmer are scattered across forms, so a teacher rarely has them to hand at the poolside.
- Chasing term fees and re-collecting card details every block eats your evenings and leaves you out of pocket on no-shows.
- Parents constantly message asking which level their child is on, when the next term starts, and whether their place is held.
Everything a swim school owners and learn-to-swim instructors needs, in one place
Termly blocks and class scheduling
Set up recurring weekly lessons with rooms or lanes, capacity limits, holidays and waitlists, then run them term after term.
Poolside attendance registers
Mark each swimmer present, late, excused or no-show from your phone at the side of the pool. Excused and no-show sessions are never charged, so the register stays fair and accurate.
Swimmer levels and achievement badges
Record the level or stage each swimmer has reached as an achievement badge and award milestones as they progress. You log gradings yourself; it's a clear record of where every swimmer is, not an automated stage-progression engine.
Medical, SEND and guardian notes
Keep each swimmer's medical conditions, SEND notes, guardians and emergency contacts on their profile, so the right teacher has the right information at the poolside.
Parent payments and reminders
Collect term fees, per-session or drop-in payments by card or Bacs Direct Debit, with automatic charging and overdue reminders. You can also record cash and bank transfers paid offline.
Parent and swimmer portal
Parents see their timetable, payments, messages and any signed forms in one portal, so they stop messaging you to ask which level their child is on or when the next term starts.
Consent forms, safeguarding and announcements
Send consent and medical forms for e-signing with a legal audit trail, track DBS and safeguarding records for your teachers, and send announcements or scheduled email broadcasts to every parent at once.
Questions swim school owners and learn-to-swim instructorss ask
Can Adminished handle termly enrolment and waitlists?
Yes. Lessons run as recurring weekly classes with capacity limits, holidays and waitlists, so you can re-run a term, hold places and fill spaces as they open up.
Does it track swimmer levels and stages?
It records the level or stage a swimmer has reached as an achievement badge that you award, giving every parent a clear picture of progress. To be honest, it does not run an automated stage-by-stage progression syllabus or auto-promote swimmers; you log gradings when a child meets them.
How do parents pay for lessons?
Parents pay by card or Bacs Direct Debit, set up as recurring term, monthly, per-session or drop-in payments with automatic charging and overdue reminders. You can also record cash or bank transfers that are paid offline. Sessions marked excused or no-show are not charged.
Can I take registers at the poolside?
Yes. Mark swimmers present, late, excused or no-show from your phone, and the register works just as well on a tablet by the pool. Excused and no-show swimmers are never billed.
Where are medical and emergency details stored?
On each swimmer's profile, alongside guardians, SEND notes and emergency contacts, so a teacher always has the right information to hand. Adminished follows UK GDPR and ICO guidance with UK data residency, and there's a public Security page explaining how data is handled.
Can I move my existing swim school over without losing data?
Yes. We offer free done-for-you migration that carries across your swimmers, guardians and existing payment details, including card and Direct Debit mandates, so parents don't have to re-enter anything.
What does Adminished cost for a swim school?
It's free to start, and payments cost a simple 1% on top of the usual card or Direct Debit processing fees. There are paid tiers that raise limits as you grow, but every feature is available from the free plan.
