Each class has its own fee, billed weekly, fortnightly, every four weeks or monthly. There is no termly billing cycle: if you charge by the term, you raise each pupil's term fee as a one-off payment request. Once you connect Stripe, parents can pay online, and recurring fees are charged automatically to parents who have saved a card or set up a Direct Debit. Until then nothing is charged automatically — bank transfers, cash and cheques are recorded by hand against the pupil, so every payment sits in the same ledger for your committee, and any funder, to see.

If you are a registered charity, parents make Gift Aid declarations online when they sign up, Adminished tracks who is eligible, and it produces the report you hand to HMRC — a genuine funding lever most school tools ignore. We produce the report; we do not file the claim for you.

Is it built for a volunteer-run school?
Yes. It is designed to be run by volunteers, not IT staff: simple registers from a phone, and a parent portal so families self-serve. Once you connect Stripe, fees are collected automatically from parents who have saved a card or set up a Direct Debit, so a treasurer is not chasing those payments by hand. Roles let you give committee members and teachers the right access.
Can we collect termly fees without chasing parents?
Yes, as a payment request — there is no termly billing cycle. Recurring fees are billed weekly, fortnightly, every four weeks or monthly, so for a term's fee you raise a one-off payment request for each pupil; give it a due date and an overdue one is chased by email (reminders are on unless you switch them off). Without Stripe, nothing is charged automatically: bank transfers, cash and cheques are recorded by hand against the pupil, so every payment still lives in one transparent place.
Do you support Gift Aid?
Yes. If you are a charity or CASC, parents make Gift Aid declarations online when they enrol, Adminished tracks who is eligible, and it produces the report you hand to HMRC — no separate form, no chasing. We produce the report; we do not file the claim for you.
What about safeguarding and DBS for our teachers?
Every child record holds emergency contacts, medical notes and e-signed consent (photo, trip, policy) with a legally valid audit trail, and you can track DBS status and expiry for each teacher and helper — so you can see at a glance who is missing required checks before a session.
What does it cost?
Start free — the Free plan is free forever for up to 20 active students with every feature included, no card required. Paid plans add capacity as you grow, with no per-pupil or per-teacher charges. The only usage fee is an optional 1% on card and Direct Debit payments you choose to take through Adminished.
Is it UK-based and GDPR compliant?
Yes. Adminished is built and run by a UK company, ICO registered, with UK data storage and UK GDPR-aware handling of children's data. Our public Security page sets out the legal basis, data residency, every sub-processor and a 30-day deletion guarantee — the page to forward to a parent or your local authority.
Can you move us off bank transfer or our spreadsheet?
Yes. We offer free, done-for-you migration that brings your families and classes across. If you already collect by Direct Debit or card elsewhere, those mandates can't be transferred between providers, so each parent sets up a new Direct Debit or card once, from a link we send — about a minute each. Anyone paying by bank transfer can carry on, and you record those payments by hand.
Would this be worth £19 a month to your school?
We're a UK company building this for volunteer-run schools, and we want the price to be fair. Adminished is free for up to 20 children; for a larger school it would be £19 a month for everything — registers, Direct Debit fee collection, consent, safeguarding and Gift Aid — with no per-child charges.
