Martial Arts Club Software UK: Run Your Dojo Without the Paperwork

Last updated: 2026-06-02 · use-case, martial-arts, coaches

It’s five minutes before class. You’ve got a notebook tucked under your arm, a cash tin rattling in the bag, and three parents at the door asking whether their kid’s waiver is still on file. Someone hands you a tenner for a drop-in. You don’t have change. You’re also supposed to be warming up.

This is the ordinary Tuesday of running a martial arts club — and every minute spent sorting paper is a minute you’re not coaching.

The admin that actually eats your week

The register doesn’t look like much of a problem until you add it up. A club with 60 members, a mix of monthly fees and drop-ins, two classes a night three times a week — that’s a lot of ticking boxes, chasing cash, and trying to remember which belt grading Kai was meant to be going for.

Belt progression is almost always kept in a notebook or a spreadsheet no-one else can read. When a student asks “am I ready for my next grading?”, the honest answer is often “hang on, let me find the file.” Drop-in payments are the worst: cash paid at the door, sometimes written down, sometimes not, occasionally lost before it reaches the bank.

Waivers are another slow leak. A parent fills one in on paper at the first session, it goes in a folder, and three months later when you need to know whether a student has a medical condition, the folder has moved to a different bag. If you’re running a contact sport with under-18s, that’s not just inconvenient — it’s a safeguarding problem.

None of these things is dramatic. They’re just friction, week after week, adding up quietly until running the club feels like a second job.

A week running on Adminished

Monday, before class: you open the Adminished kiosk on the iPad propped by the door. Students tap their name as they walk in — present, late, or no-show. Parents doing the drop-off can see their child is marked in. No register to carry, no pen to lose, no arguing about who was there last week. Any device will do; the kiosk needs no app install.

Tuesday evening, drop-in night: a new student arrives without a monthly membership. You add them to the system, they pay by card through the Stripe link (or you record the cash), and they’re on the register. At the end of the month, the system knows exactly who paid for what. The cash-that-went-missing problem quietly disappears.

Wednesday, a message from a parent: their daughter can’t make Thursday because of a school trip. You note the excused absence in the system. If she’s on a monthly plan and your club has a make-up policy, you’ve got the record either way. No WhatsApp thread to hunt through two weeks later.

Thursday grading prep: you pull up the badge tracker and check who’s hit the attendance threshold for their next belt. Adminished tracks progress automatically — when a student hits the number of sessions you’ve set, the badge is awarded. You can also award manually for technique or behaviour, whichever fits your grading style. Before class, you’ve got a clear list. No notebook, no guesswork.

Friday, new family signs up: you send them the club’s join code. They register themselves on the parent portal, fill in the digital waiver (legally valid e-signature, stored against the student record), add medical notes and emergency contacts. By the time their child arrives for the first session, everything is already in the system. You spend zero time on paperwork at the door.

What matters most for martial arts clubs

Waivers and consent forms. Contact sports with children require these to be right, every time. Paper forms drift, get lost, and can’t be searched. Adminished stores the e-signed waiver against each student’s record, alongside emergency contacts, medical conditions, and SEND notes. If something happens on the mat, the information is on your phone in ten seconds.

Badge and belt tracking. The system lets you define your own badges — whether that’s BJJ stripes, karate kyu grades, boxing pad qualifications, or a judo mon system. You set the criteria (attendance count, manual coach award, or both). Students and parents can see progress in the portal, which cuts the “are they ready yet?” questions down significantly. One honest limit: Adminished generates the records and tracks progression; it doesn’t integrate with governing body registration systems like British Judo or England Boxing, so you’ll still submit to those separately.

Drop-in and monthly billing side by side. Most martial arts clubs have both — regular monthly members and occasional drop-ins, or students who start monthly and then life gets complicated. Adminished handles them as separate billing types on the same register. Monthly payments go out automatically; drop-ins are recorded individually, cash or card. Overdue payment reminders fire without you having to remember to chase.

Parent comms that don’t live in WhatsApp. Grading days, competition announcements, club closures — Adminished sends broadcasts to parents (scheduled if you want them), keeps a log, and doesn’t rely on everyone being in the same group chat. For clubs with 40+ families, that’s a meaningful shift.

Getting started

Most coaches set up the basics in under 15 minutes. You add your classes, set your membership types (monthly, drop-in, or both), and start adding students. The parent portal self-onboards — you share the join code, parents do the rest. No-one needs to download an app.

The free plan covers 20 students and 2 classes, which is enough for a new or small club to run properly from day one. Essential (£19/month) takes you to 75 students; Pro (£49/month) to 200. Every feature — waivers, badges, the parent portal, kiosk mode — is available on all plans. The limit is headcount, not capability.

If you’re currently running your dojo on a notebook, a spreadsheet, and a prayer, Adminished replaces all three.
